Enter Case Reviews

Enter a Review

 To start a review, click on <Enter Case Reviews>.

The Enter Case Review screen displays.

 

Tabs

There are 4 tabs on the Enter Case Review screen. The information on the tabs includes:

  • Main Review:   Reviewer, case, and worker information as well as the program(s) and review type(s) selected for review.
  • Review Elements:  Elements, causal factors, element status, and comments.
  • Program Specific/Other:  Notes and information specific to each program selected such as case action and case benefits.
  • Review Action:  Items that are required or are optional in completing the review.

Toolbar

Edit:   Opens an existing review to allow data entry 

Delete:  Remove a review. 

Cancel: Remove any data in the review that has not been saved. 

Save:  Retains the information entered on the review form and assigns a review ID. 

Print:   Preview a summary of the review with the option to print. 

Close:   Closes the Enter Case Review screen and returns the Reviewer to the Case Review Menu. 

There are three methods of selection for fields that have a dropdown arrow:

  • Click on the arrow, then click on the desired selection from the dropdown menu;
  • Keystroke the first initial of a selection choice (If there are two or more choices with the same first initial, continue to strike the first initial key until the desired selection appears in the field;
  • Click on the keyboard down arrow until the desired selection appears in the field.

Review Date and Reviewer 

The current date will auto-fill in the <Review Date> field and the name of the individual who logged into the Review System will auto-fill in the <Reviewer> field. The <Review Date> field cannot be changed. The date in the <Review Date> field will be recorded when the review is first saved. 

When it is the first time to enter a review for a Reviewer, the <Type>, <Reviewer Sup Last>, <First Name> and <Reviewer Division> fields will need to be entered.

 

Review Fields

Complete the review fields by manually entering the data or choosing from the dropdown options. 

  • Type: Choose the appropriate Review Type from the dropdown. The options are QA, Supervisor or Trainer.
  • Review Supervisor: Choose the appropriate Reviewer Supervisor from the dropdown.
  • Reviewer Division: Choose the appropriate Reviewer Division from the dropdown.
  • Review Month: Click in the <Review Month> field and enter the month and year (MM/YYYY) for which the case is being reviewed.
  • Review Class: Choose the appropriate Review Class from the dropdown. The options are
  • Case Number: Enter the case number.
  • Case Last/First Name: Enter the last name in the <Case Last Name> field and the first name in the <First Name> field.
  • SW/BR: Choose the appropriate SW/BR from the dropdown.
  • Supervisor: Choose the appropriate supervisor from the dropdown.
  • Office: Choose the appropriate Office from the dropdown.
  • Assigned To fields: These fields will be auto-populated based on the information entered in the SW/BR, Supervisor, and Office fields. If necessary, these fields can be updated by choosing the correct information from the dropdowns. 

Re-Assign Reviewer

If a Reviewer completed the review, but now no longer works at the office or is on an extending leave, the <Re-Assign Reviewer> function allows the user to change the Reviewer so the electronic remediation can be completed. 

Click on the <Re-Assign Reviewer> button.

 

 

A different screen displays.

 

Click on the <Reviewer> dropdown list and select a name of the Reviewer.

 

 

Click on <Save> to change the name of the Reviewer or click on <Cancel> to abort the action.

 

 

If saved, the Reviewer name has changed and the different Reviewer will now be responsible for any remediation.

 

 

Review Class

To select the <Review Class>, click on the dropdown arrow and click on the class.  If the Reviewer has saved a review and starts a new review, the <Reviewer Class> field will be prefilled from the information that was saved in a previous review.  The Reviewer has the option to change this field. This field is important for filtering in reports.

 

Dropdown selections include:

 

  • Probationary: The review is being conducted for a probationary employee.
    • Regular:  The review is being conducted for reviews that are not for employee performance and not for probationary employees.

       

    • State: The review is being conducted for the State.

 

  • PIP: The review is being conducted for performance improvement.

 

 

 

 

 

 

Case Number

If the case was selected from the <Task Pull>, the <Case Number> field will auto-fill.  If the review is not from the <Task Pull>, enter the 10-digit case number. 

 

 

 

Case Last Name First Name

If the case was selected from the <Case Pull> pull, the <Case Last Name> and <First Name> will auto-fill.  If the review is not from the <Case Pull>, enter the last name, hit the [Tab] key and then enter the first name.

 

 

 

 

Worker’s Last Name, First Name

Worker Last Name in List

Enter at least one character of the worker’s last name in the <Worker> field.  Hit the Enter or Tab key.  A list of any workers with those characters who have previously been listed in the field will be displayed.

 

 

 

Click on the worker name in the dropdown list.  The system will auto-fill all of the remaining staffing fields based on the previous saved review.

 

 

Worker Last Name – No Matches

Enter at least one character of the worker’s last name in the <Worker Last Name> field. Hit the Enter or Tab key.  If there are no worker names that match the entered characters, the message “no matches [Add New]” will display.  Click on the message to close the dropdown box.  Click on [Cancel] to clear the field.

 

 

 

 

Enter the worker’s last name in the <Worker Last Name> field.  Hit the Tab key.  Enter the <First Name>. 

 

 

 

 

 

The system will automatically enter the same information in the <Assigned To Last, First Name> fields.

 

 

Supervisor Last Name First Name

If the worker’s name was selected from the worker dropdown list, the <Supervisor> fields will auto-fill based on the information from the most recently saved review.

 

 

 

If the auto-filled supervisor’s name is no longer the worker’s supervisor or if the worker’s name was not in the <Worker Last Name> dropdown list and was manually entered, tab to the <Supervisor Last Name> field.  Enter the supervisor name in the <Supervisor Last Name>.  Hit the Enter or Tab key. 

 

 

 

If the name does not appear in the list, the message “no matches [Add New]” will display.  Click on the message to close the dropdown box.  Click in the <Supervisor Last Name> field.  Enter the supervisor’s last name. Strike the Tab key.   Click in the supervisor’s <First Name> field. Enter the supervisor’s first name. Strike the Tab key.  The system will automatically fill in the <Assigned To Supervisor> name fields.

 

 

Division

When the worker’s name was selected from the <Worker> dropdown list, the <Office> field will auto-fill based on the information from the most recently saved review.

 

 

 

 

 

When either the worker or worker’s supervisor was manually entered, select the office from the <Office> dropdown list.  

 

 

Assigned To & Assigned to Supervisor

The <Assigned To > and <Assigned to Supervisor> fields will be auto-filled based on the information entered in the <Worker> and <Supervisor> fields.  The individuals in the assigned to fields are responsible for the correction of the case and will receive the e-mails and messages on their message center 

 

 

Note: The Reviewer or Reviewer’s supervisor can change the <Assigned To> fields. 

 

To change the <Assigned To> fields, enter at least one character of the worker name in the <Assigned to Last Name> field. Hit the Enter or Tab key. 

 

 

 

If the worker name displays in the dropdown list, click on the name. The <Assigned to Last Name> and <First Name> fields for the worker will be completed.

 

If there are no worker names that match the entered character(s), the message “no matches [Add New]” will display.  Click on the message to close the dropdown box.  (For further instructions on how to add an assigned worker, refer to the worker Last Name First Name section.)

 

Assign to Supervisor

To change the <Assigned to Supervisor Last Name> and <First Name>, enter at least on character of the supervisor name in the <Assigned to Supervisor Last Name> field.  Hit the Enter or Tab key. 

 

 

If the supervisor’s name displays in the dropdown list, click on the name.

 

If there is no supervisor name match for the entered character(s), the message “no matches [Add New]” will display.  Click on the message to close the dropdown box.  (For further instructions on how to add a new supervisor, refer to the Supervisor Last Name, First Name).

 

 

Assign to Office

When the worker’s name was selected from the <Worker> dropdown list, the <Office> field will auto-fill based on the information from the most recently saved review.

 

 

When either the <Assigned To> or <Assigned to Supervisor> was manually entered, select the office from the <Assigned to Office> dropdown list. 

 

 

Case Action

 

From the dropdown <Case Action> list, select the type of action of the case.

 

Programs

To select the program(s) to be included in the review, either double-click on the program name or click on the program name and then click on <Add>. The selected program(s) will display in the <Program> column and will no longer display under the <Programs available for review> section. Multiple programs may be selected for one review.

 

 

To remove a program from the review, either double-click on the program name in the <Program available for review> section or click on the name program and then click on <Remove>.  The program will no longer display in this section and will appear in the <Programs available for review> section.

 

 

Program Status

The system defaults the <Program Status> field to ‘Active’. When the review is for a denial or discontinuance, click on the dropdown arrow and select ‘Negative’ from the dropdown list. 

 

 

Review Types

The <Review Type> dropdown options are based the program(s) selected for review.  Each program has the ability to create specific review types.  To select a review type, click on the dropdown arrow and then click on the desired review type. 

 

Note: The Review System allows certain users (Administrators and System Administrators) to create specific review types to address error prone errors. 

Full Review Type

When Reviewer has selected the <Review Type> of ‘Full’, all elements must be reviewed.  The element status cannot stay as N/R (not reviewed).

Targeted and Focused Review Types

When the Reviewer has selected a <Review Type> other than ‘Full’, at least one element must be reviewed.  Unlike the ‘Full’ review type, all elements do not need to be reviewed. 

 

 

Save 

Once the information on the Main Review tab has been entered and a program has been selected, click on <Save>.  

 

 

Review ID

After the review has been saved for the first time, the review will be assigned a review ID.  This is an internal number that tracks the review and the information contained on the review.

                                                           

Note:  Saving a review allows you to retain all the information on the review form, but does not include the information in the reports.

 

Edit

To continue with the review or open the review form, click on <Edit>.

 

Review Elements

Click on the Review Elements tab.

 

 

 

 The Review Elements screen contains:

Elements:  The sections of a case that are being reviewed.

Causal Factors:  The specific reason(s) that an element was cited as incorrect.

Element Status: The accuracy of each element.

Comments – The narrative that is specific to each element.

 

The elements displayed are based on the Program, Program Status, and Review Type selections made on the Main Review tab. 

                          

Example:  One program is selected.

 

 

 

 

 

 

 

 

 

 

 

 

When multiple programs are selected for review and if an element is not linked to the programs being reviewed, the status field will be blank. 

 

 

Element Status

This field defaults to N/R (Not Reviewed). 

There are four options: 

  • Correct – All aspects of the element were processed accurately.
  • Incorrect – There was an error in the manner in which the BR processed the element.
  • N/A – The element was not present in the case or did not pertain to the review being conducted.  For example, if a review type of Full was conducted and there was no earned income present in the case, the element of Earned Income would be coded as N/A.  (The System Administrator determines if the N/A is available or not for the element status.)
  • N/R – The element was not reviewed.  All elements are defaulted to N/R. 

 

 

To select the status of an element, click on the name of the element.

 

 

 

The causal factors linked to the program and the review type will display.

 

 

 

 

 

When the element is correct, click on the dropdown arrow under the program name and then select ‘Correct’.

 

 

Note: The element status of Incorrect is system generated when a causal factor is selected (Explained in Causal Factors section).

 

Causal Factors  

The causal factors are the specific reason for an incorrect element. To display the list of causal factors associated with an element, click on the element name.  All causal factors linked to the selected program(s) and review type(s) will be displayed. 

 

To see the list of causal factors for a specific element, click on the element name.

 

 

The list of causal factors for the selected element will display.  If the entire causal factor is not visible, click on the causal factor.  The full causal factor will display in the area directly below the list.  This area is also used for a description of the causal factor.

 

Select Causal Factor(s)

To select a causal factor, double click on the causal factor.  The selected causal factor(s) will display in the <Causal Factors> column.  Up to 5 causal factors can be selected for an element. 

 

When the selected causal factor is shared among the programs being reviewed, a checkbox will appear under the All column.  

 

 

 

 

 

Clicking in the All box will place a checkmark in the checkbox for all programs and change the element status to incorrect.

 

 

 

If the causal factor is incorrect for one program and correct for the other, click on the checkbox under the program with the process issue. The <Element Status> for that program will change to ‘Incorrect’. 

 

 

 

When the selected causal factor is not shared by the programs being reviewed or only one program is being reviewed, the system will automatically check the box and change the element status to Incorrect when the causal factor is selected. 

 

 

To close the causal factor list, click on the element name in the <Elements> column.

Remove Causal Factor(s)

To remove a causal factor, open the element and double click on the causal factor. 

 

 

 

 

 

 

 

 

 

 

 

Element Comments

The <Element Comments> section is specific to each element.  Comments can be added regardless of the element status.  To add comments, click on the element and click on <Add>.

 

 

The comments section will list the name of the user, date and time the comment was entered.  When the comments are completed, click on the <Save> button.

 

 

The comment information will be displayed on the Review Elements tab within the specific element section.

 

 

 

 

 

 

To modify or delete comments, click on the comments and then click on <Edit> or <Delete>.

 

 

Note:  If a different user goes into the review, the user that previously entered the comments can no longer modify or delete her/his comments.

Program Specific / Other 

Click on the Program Specific / Other tab.  The information displayed on this tab specific to the case / task, program(s) and review types selected on the Main Review screen. 

 

 

Note

When an error has happened outside the review month or beyond the scope of the review, click on the <Note> dropdown arrow and select ‘Yes”.  The <Note> field is defaulted to ‘No’.

 

 

The <Comments> section will become enabled.  Enter the information.

 

When the <Note> field is ‘Yes’, the review will be treated as if there is a deficiency in the review and the system will default the <Response> field on the Review Action tab to ‘Response Required’ and the worker / responder will need to take action on the review.

 

 

Case Benefits

The Case Benefits section gathers either the amount of the benefits or the overall status of the review. The fields displayed on this tab depends on the <Program(s)>, <Program Status> and <Review Type> fields selected on the Main Review tab.  The <Case Benefits> fields are required for Case Reviews with a ‘Full Review Type’.

 

      Example Program Specific / Other tab – Full Review Type.  Reviewer must enter amounts.

The <Case Benefits> fields are optional for Case Reviews with a review type of ‘Targeted’, ‘Focused’ reviews or the ‘Negative’ program status.   If the ‘Not Reviewed’ box is checked, the <At Review>, <Corrected>, <Difference> and <Error Status> fields are disabled.

 

 Program Specific / Other tab – Targeted / Focused Review Reviewer does not have to enter amounts.

 

 

Case Benefit – MAGI, Non-MAGI, ABD, CMSP Reviews

The MAGI, Non-MAGI, ABD, CMSP programs do not gather dollar amounts.  They gather an overall error status or the review. Select from the <Error Status> dropdown list.

 

 

Case Benefit – CalFresh, CalWORKs, Adoption, Foster Care, Kin Gap Reviews

CalFresh, CalWorks Adoption, Foster Care, King Gap programs gather dollar amounts.  Enter the amount authorized for the benefit month. 

 

 

Enter the correct benefit amount in the <Corrected> field. 

 

 

Note:  If the Reviewer is unable to determine the correct benefit amount, leave the <Corrected> field blank.  The individual listed in the ‘Assigned To’ or ‘Assigned to Supervisor’ fields will be able to enter the amount. (Who enters the corrected amount depends on who the Reviewer is and the individual listed in the <Assigned to Supervisor> field.

 

The system will calculate and auto-fill the difference amount. The system will auto-fill the <Error Status> field.  Exception: If the case is not eligible, click on the dropdown arrow and then click on Ineligible.

 

 

 

Case Benefits - Negative Reviews

When a review has a program status of ‘Negative’, two additional fields display and are required.  From the <Negative Status> dropdown list, select if the closure was valid or invalid.

When the Program Status of ‘Negative’ is selected, the ‘Not Reviewed’ option is available. There are two additional fields for negative reviews:  <Negative Status> and <Negative Review Type>.

 

 

Select from the <Negative Status> dropdown list if the review was valid or invalid.

 

 

Select from the <Negative Review Type> dropdown list if the review was a denial or discontinuance.

 

 

WTW

For the WTW program select the Type of Household.  The system defaults to ‘Single Parent’.  Click in the circle next to ‘Two Parent’ to change the selection.

 

 

 

In the <Activity> field, click on the dropdown arrow to display the WtW work activities. Highlight and click on the activity in which the parent is participating. 

 

 

Under <Particpant Hours> indicate the number of hours that the parent(s) have particpated in the selected activitiy.  <1st> and <2nd> refer to the parent.  If Single Parent is selected, entries are not allowed in the <2nd> field. 

 

 

 

If the activity hours qualify as core hours, leave the checkmark in the box in the <Core> field. If they do not qualify toward the core hours, click on the box to remove the checkmark. 

 

 

 

The system will auto-fill the Total Hours based on the information entered in the above fields.

 

 

In the <Participation> field, choose the appropriate response. 

 

 

 

 

Review Action

When the review is finished, click on the <Review Action> tab. 

 

 

Reviewer Signature

When the Reviewer is finished the review, click in the box next to <Reviewer Signature>. 

 

 

 

 

 

 

The current date will display next to the Reviewer Signature.  

 

Correct Review

Response

When the review had no causal factors cited or <Notes> are ‘No’, the <Response> field will auto-fill with Not Required

 

 

 

Comments

If a Reviewer wants to additional comments that are not specific to an element, the comments can be entered in this <Comments> section.  Click on <Add> to enter the comments in the <Comments> section. Click on <Save> or <Print>. This will save all of the data and perform an edit check for required information.  The review data will now be included in the reports. 

 

Message Center Nofication

The individual’s name that was entered in the Assigned to Worker field will receive a message stating: “Review Completed – Correct”.   For QA reviews, the Assigned to Worker and Assigned to Supervisor will receive a message. 

 

 

 

Incorrect Review – Response “Not Required”

Response

When the review had at least one causal factors cited and/or the <Notes> fields is ‘Yes’, the <Response> field will auto-fill with ‘Response Required’.   If the Reviewer does not require the responder to take action on the case, the review has the ability to change the response. 

 

Click on the dropdown arrow in the < Response> field. Click on “Not Required”. 

 

 

Rebuttal Due

Depending on who is completing the review, the Assigned to Worker / Assigned to Supervisor has the chance to rebut the findings.  The <Rebuttal Due> field will auto-fill to 3 working days from the <Reviewer Signature> date.  The <Correction Due> field will not be available.

 

 

Comments

If a Reviewer wants to additional comments that are not specific to an element, the comments can be entered in this <Comments> section.  Click on <Add> to enter the comments in the <Comments> section. Email and Message Center Nofication

For Supervisor Reviews, an email and a message will display on the individual that was entered in the Assigned to Worker Message Center that an incorrect review was completed and a response is required. For QA reviews, an email and a message will display on the individual that was entered in the Assigned to Worker and the Assigned to Supervisor Message Center that an incorrect review was completed and a response is required.

No User Login

When an individual is entered in the <Reviewer Supervisor>, <Worker>, <Supervisor>, <Assigned To> or < Assigned to Supervisor> fields and the individual does not have a User ID for the Review System, a message will display on the Reviewer’s (and users assigned to the Administrator and User Logins security roles) Message Center, notifying them that a login has not been assigned to the individual. 

 

At that point, the Reviewer will need to double-check the spelling of the name and contact the individual(s) with access to the User Logins function to set up the user’s login information.  This will give the individual access to view and respond to reviews in the review system. 

 



 

Supervisor Reviews

When a supervisor is the Reviewer and his/her name is also entered in the <Assigned to Supervisor> field, the messages and any electronic communication is between the Reviewer and the individual entered in the <Assigned To> field. 

 

 

 

Assigned to Worker Responding to Supervisor Reviews

Workers are assigned a security role that allows them to view reviews where they are listed in the Worker field and/or respond to reviews where they are listed in the Assigned to Worker field. When a review has been completed a message will display on his/her Message Center.  Action will need to be taken on the review or view the review.  

 

 

Message Center

The message center provides the Assigned to Worker with a list of all reviews that require action or informational reviews.

 

 

Correct Review Findings

A message is displayed on the Message Center when a correct review is completed.  This is an information only message and will be removed from the Message Center when the review has been viewed by the Assigned to Worker.  To view the review, double-click anywhere on the message.

 

 

Note:  Click on the <Refresh> button to view the most current messages.

 

The review will display.  All screens can be accessed in a view only mode by clicking on the tabs. To close the form and return to the Message Center, click on the <Close> button. 

Incorrect Review Findings – No Response Required

A message will display on the individual that was entered in the <Assigned to Worker> field Message Center when an incorrect review is completed, but no response is required. 

 

The Assigned to Worker has the option to rebut the findings or just view the review.  If the Assigned to Worker agrees with the citation, the message will be removed from the Message Center when the review has been viewed by the individual. 

 

The Assigned to Worker also has the option to rebut the findings. To view the review, double-click anywhere on the message.

 

 

Click on <Edit>.

 

 

The Assigned to Worker will be directed to the Review Elements.  To add comments to an element, click on the element name and click on <Add>.  (Refer to the Review Elements / Comments section.)

 

 

 

 

 

Click on the Review Action tab.

 

 

The Assigned to Worker has the option to disagree with the Reviewer even if the response is not required.  To disagree with the review, click on the box next to <Rebuttal>.  Click on <Save>.  If the Assigned to Worker agrees with the citation and no comments were entered, click on <Cancel> and then <Close>

 

Refer to the Rebuttal section listed in the Assigned to Worker Rebuts Findings section for further instructions regarding the rebuttal process.

 

Message Center Nofication

Since the Reviewer and the <Assigned to Supervisor> are the same person, an email and a message will display on the Reviewer’s  Message Center that a review has been rebutted.  If the Assigned to Worker did not rebut, no messages or emails are sent.

In addition to general information about the review, this screen will display any elements that were cited as incorrect, associated with causal factor(s) and comments.  Click on Close to return to the previous screen.

To respond to the review, click on the <Edit> button.  The system will take the user to the Review Elements tab.

 

Comments

The Review Elements screen will display.  The screen contains:

Elements:  The sections of a case that are being reviewed.

Causal Factors:  The specific reason that an element was cited as incorrect.

Element Status: The accuracy of each element.

Comments – The narrative that is specific to each element.

To enter comments regarding the action that was taken to correct the elements or to support a rebuttal of the review findings of incorrect for an element, click on the name of the element in the <Elements> column. 

 

 

The field will expand to display all information pertaining to the selected element. To enter comments, click on the <Add> button.

 

 

 

 

 

 

 

 

 

 

 

The comments section will list the name of the user, date and time the comment was entered.  When the comments are completed, click on the <Save> button.

 

 

 

The comment information will be displayed on the Review Elements tab within the specific element section.

 

To modify or delete comments, click on the comments and then click on <Edit> or <Delete>. 

 

Note:  Once an individual saves the review and another user goes into the review, the comments cannot be updated or changed.

 

 

Program Specific / Other tab

Click on the Program Specific / Other tab.

 

 

There may be times that the Reviewer is unable to determine the correct benefit amount.  If known, enter the correct benefit amount in the <Corrected> field.

 

 

 

 

The system will automatically enter the amount in the <Difference> and select the status from the <Error Status> fields.

 

Note:  If the status is not eligible, select ‘Ineligible’ from the <Error Status’> dropdown list.

 

 

Review Action

Click on the Review Action tab 

 

 

The Assigned to Worker has 3 options on the Review Action tab:

  • Rebuttal: Disagree with the findings of the Reviewer.  The rebuttal is available 3 working days from the Reviewer Signature date.  If no response within the date of the <Correction Due> date, the <Rebuttal> box will be disabled.
  • Extension: Request an extension of the when the correction is due. Available 10 business days from the Reviewer Signature date. If no response within the date of the <Correction Due> date, the <Extension> box will be disabled.
  • Case Correction: Agree with the findings of the Reviewer and correct the case.   Available 8 business days from the Reviewer Signature date.

 

 

Assigned to Worker Agrees with Review Findings

When the Assigned to Worker is in agreement with the findings, click in the box next to <Case Corrected>. The system will automatically display the date when the <Case Corrected> checkbox was selected.

Important:  The Assigned to Worker has only ten business day for a rebuttal.  When 5 working days have passed, the <Rebuttal> checkbox will be disabled and the worker can no longer rebut.

 

 

Click on <Save>.

Extension Request

Since the Reviewer and the Assigned to Supervisor are the same person, an email and a message will display on the Reviewer’s  Message Center regarding the extension.

 

Response Not Timely

When it is the day that the Assigned to Worker should respond to the review by, the message on the Assigned to Worker’s Message Center will turn yellow.  If the individual in the Assigned to Worker field has not responded by the correction due date, the message on the Assigned to Worker’s Message center will turn dark red. 

 

 

 

Reviewer (Supervisor) Responses to Assigned to Worker’s Actions

Assigned to Worker Corrects Case

When the Assigned to Worker checked the <Case Corrected> box on the Review Action and click on <Save>, an email and a message will be on the Reviewer’s message center.  The Reviewer now needs to make sure that the Assigned to Worker actually made the correction. The message will be displayed and ‘Review Not Completed’.  Double-click on this message.

Click on <Edit> to open the review form.

The system will take the Reviewer to the Review Elements tab.  Review the Assigned to Worker comments and add any additional Reviewer comments.

Click on the Review Action tab.

Assigned to Worker Corrected Case

If the Assigned to Worker made all of the corrections needed for the case, check the <Review Completed> box and click on <Save>. No other action is needed on this review.

Assigned to Worker did not Correct Case

After reviewing the case and the Assigned to Worker did not make all of the corrections, the Reviewer can electronically send the review back to the Assigned to Worker.  Uncheck the <Case Corrected> box and click on <Save>. 

An email and a message will be on the Assigned to Worker’s message center that corrections are required for the review.

Extension Approval / Denial

When an extension has been requested, the Supervisor will either approve or deny the request. 

To deny the request, click on the <Deny> box and then click on <Save>. The system will display a date of when the box was checked. To approve the request, click on the <Approve> box and enter a date in the <Correction Due> date field. Click on <Save>. The system will display a date of when the box was checked.

 

Extension Notification to the Assigned to Worker

The Assigned to Worker will receive notification via the Message Center regarding the approval/denial of the extension request. 

When the extension is denied, a message displays ‘Extension Request Denied’. The Assigned to Worker will need to correct the case by the correction due date.  When the extension is approved, a message displays ‘Approved Extension’. 

Assigned to Worker Rebuts Findings

When the Assigned to Worker has disagreed with the Reviewer’s findings, the Reviewer will have a message on the Message Center stating – Rebuttal – [Worker Name].  Double-click on the review.

Click on <Edit>.

The Reviewer will be taken to the Review Elements tab.  Review the Assigned to Worker’s comments and make necessary replies.  If a causal factor should not have been cited, remove the causal factor.  If the findings remain, go to the Review Action tab.

Concur with Worker – findings removed

If all of the causal factors were removed and the worker does not need to take action, check the <Concur with Worker> box and <Save>.  The worker will receive a message stating ‘Review Completed – Correct’ on her Message Center.

Concur with Worker – actions still needed

If the Reviewer removes a causal factor, but there are findings that still need to be addressed, check the <Concur with Worker> box and <Save>.  The Assigned to Worker will receive a message stating ‘Review Completed – Corrections Required’ on her Message Center.

Reviewer Upheld

When the Reviewer determines that the findings remain, click the <Reviewer Upheld> box and Save>. An email and a message of ‘Findings Upheld – Corrections Required’ will be on the Assigned to Worker’s Message Center.

QA Reviews

Assigned to Supervisor’s Responsibilities

When the review is QA, the individual listed in the Assigned to Supervisor field has the ability to view the review and enter comments on the review form. 

The Assigned to Supervisor field will receive emails, messages on their Message Center and will have the ability comments on the review form (if the <Review Completed> box is not checked).

To add comments to the review, click on <Edit>.

The system will direct the Assigned to Supervisor to the Review Elements tab.  To enter comments, click on the name of the element and click on <Add>.  (Refer to the Element Comments section.)

The Assigned to Supervisor also has the ability to enter comments on the Review Action tab.  Click on <Save> to record the comments.

Assigned to Worker Responding to QA Reviews

The Assigned to Worker is responsible to respond to these reviews. When a review has been completed a message will display on his/her Message Center. 

Correct Review Findings

When the action displays ‘Review Updated’, there is more detailed information.  Double-click on the row.  

Click on <Close> to return to the history.

Show Actions
